The committee continued discussions on the plan for the QCCAV
AGM which will take place on
May 13th, 2009 at
1:00pm.

Luncheon:
So far, 19 people have indicated that they would like to attend the lunch. This includes Justice Deluzio. Lunch will be provided for 20 people. The committee decided it would be up to Heather?s discretion if we were to add anyone else to the lunch, considering the extra cost.
The lunch will cost approximately $ 710.00 with taxes included. There was some discussion about if this amount included the afternoon coffee break and veggie tray that was requested for the
AGM. We will assume the veggie tray is included based on the cost of the lunch before taxes. An approximate breakdown before taxes is as follows:

We discussed using leftover funds (as suggested by Heather) from another committee to cover the over-expense (possibly the Education or Child and Youth committee funds).

Key Note Speaker:
As discussed in previous communications, Justice Deluzio has agreed to speak at the
AGM. Barb Lea will check with Christine to get a better idea of her topic.
Cat Fisher will do up a certificate/letter to give Justice Deluzio at the
AGM stating that $250.00 has been donated in her name to the Quinte & District Victim?s Fund.

March 26th, 2009: Barb has contacted Christine and Justice Deluzio will be speaking about "Domestic Violence Issues in Family Court and Bill 133".

Advertising and Invitations:
Barb Lea will do up an advertisement for the free "Coming Events? sections of the following newspapers: the Intelligencer, Community Press, The Sheild,
SNAP. This will go out to be listed in the papers about a week before the
AGM.
Cat Fisher will do up an e-mail invite to be sent to Heather. We will ask if Heather can send it around as a reminder to the committee members regarding the
AGM.
Cat will also send the invite to Kelly Limin by e-mail. Kelly agreed before today?s meeting to accept RSVP?s for the
AGM. We will ask Kelly to send the invite to the following agencies: the Public School Board, Terry Swift at Children?s Mental Health Services, Paul Meadows at Adult Mental Health, Mental Health Services, and Joanne Fitzgibbon at The Geriatric Psychiatry Specialty Outreach Team (Cat has the e-mail address).

Gale will also ask Heather if she can formally invite the new Belleville Chief of Police, Corrie McCullough.

AGM Administrative Details

The committee members agreed that we would arrive around
11:30 at the hotel the day of the
AGM to set up tables for membership and for agencies pamphlets. Old packages containing agency pamphlets from last year (2008) will be given away for anyone who did not attend last year.

The committee will do up an
AGM welcome package consisting of an agenda and yearly committee reports to be given out on the day of. Cat will do up the agenda for the front of the package. Gale will ask Heather to remind committee chairs to bring a yearly report to the next QCCAV meeting on April 8th so that we can copy them and add them to the packages. We will also needs last year?s
AGM minutes from Heather. We will compile the packages at the next Membership meeting.
